part 4 â using the app day to day workflows for end users advanced search advanced search is the primary prospecting interface inside salesforce it lets you query the entire altrata dataset using structured filters and act on results without leaving salesforce where to find it open salesforce click the app launcher (9 dot icon) search for altrata and select the module tip pin altrata to your navigation bar for one click access how it works advanced search has two modes, switched via tabs at the top individuals â search for people organizations â search for companies and institutions the interface has three areas filter panel (left) collapsible; defines your search criteria filters are grouped (e g , individual filters , wealth filters , role filters , organization filters , education filters ) and can be expanded or collapsed independently results panel (right) updates in real time as you change filters each result shows the person's name, role, and organization, along with key attributes (role type, gender, age, net worth, and wealth indicators like confirmed vhnw or likely vhnw where applicable) actions menu the dropdown arrow on each result row lets you add the person as a lead, contact, or account, or link them to an existing salesforce record click any name in the results to open the full altrata profile âšī¸ filter and field reference for the complete list of available filters and the data points returned in each result, see the altrata data dictionary wealth filters (license gated) wealth filters and wealth related result attributes (net worth, vhnw indicators, asset details, donations, wealth source, etc ) are only visible to clients with a wealth universe license if you don't see wealth filters in the filter panel or wealth attributes on result rows, your license doesn't include the wealth universe contact your altrata account manager to discuss upgrading working with results results update in real time as filters are applied â no manual refresh needed filters and results scroll together for a seamless experience icons on each row indicate whether the person already exists in salesforce and whether they're matched in altrata if no results return, the system surfaces a clear empty state message refine your filters and try again adding records to salesforce add a new record from a result click the dropdown arrow on the result choose add as lead , add as contact , or add as account fill out the validation fields save the new salesforce record is created and linked to the altrata profile link a result to an existing salesforce record click the dropdown arrow on the result choose link to existing record search for the existing salesforce record select it and validate error handling advanced search validates input and surfaces clear messages for common issues invalid numeric ranges, reversed min/max values, missing required fields, and non numeric values where numbers are expected best practices start broad, then narrow begin with one or two filters and add more as needed stack filters across groups (e g , role + industry + location, or wealth tier + geography) for tightly scoped outreach lists add records directly from search results instead of re keying them into salesforce â this reduces manual entry errors and ensures the altrata match is preserved pathfinder pathfinder shows you the warm paths between two endpoints â people, organizations, or your lists â using altrata's relationship data where to find it open salesforce click the altrata tab in your navigation (or find it via the app launcher) select pathfinder how to run a search pathfinder uses two endpoints from a person or organization to a person or organization supported combinations person to person person to organization organization to organization use the filter by menu (top right) to control which connections appear all connections direct connections 2nd degree connections reading the results the path map indicates relationship strength visually â bolder lines mean stronger connections click into any path to see relationship detail (e g , "likely strong"), the people involved, the organizations they share, and the roles that link them you can adjust the network display to load more connections and explore the network more deeply best practices start with direct connections for the cleanest warm intro path; widen to 2nd degree only if you need to read the relationship detail before reaching out knowing the nature of the link (former colleague? board co member?) shapes the message pathfinder pairs well with advanced search identify a target in advanced search, then pivot to pathfinder to find your warmest path in connections the connections feature surfaces first and second degree relationships on individual lead, contact, and person account records prerequisites you must have individual access to altrata's access platform the email on your altrata access account must exactly match your salesforce user email if you don't have altrata access, contact customer support first vs second degree connections first degree â a direct connection example you personally know sarah, who works at abc corp you have a first degree connection to sarah and to abc corp through sarah second degree â an indirect connection through someone you know example you know sarah, who knows john at abc corp you can reach abc corp through sarah â john viewing connections connections appear directly on the lead, contact, or person account profile the first five display by default â click see all to view the full list toggle between table view and chart view depending on what you're looking for adding and editing connections you can manually supplement the connections altrata has on file add a new connection to capture a relationship not already in the database edit an existing connection to update the relationship type, strength, or organization â ī¸ connections can only be added or edited on person records (leads, contacts, person accounts) they cannot be managed at the account (organization) level â connections are person to person by design relationship details when adding or editing a connection, you'll set relationship type â defines the nature of the link options include colleague, friend, family, business partner, ex colleague, acquaintance relationship strength â visual indicator of closeness weak â minimal interaction (thin line) moderate â past collaboration or occasional contact (medium line) strong â close, ongoing relationship (thick line) bulk uploading connections to screen large contact lists or import linkedin connections, use bulk upload open the app launcher and search for altrata click the upload connections tab click proceed to be redirected to the altrata web platform upload via linkedin or csv this is ideal for quickly identifying paths from your existing contact lists when a record has no connections if a record shows no existing connections, you'll see a prompt to bulk upload connections to grow your network from there overlap overlap measures how well two people likely know each other based on shared professional history a role overlap occurs when two people held roles at the same organization at the same time the system counts every overlap between two people; more overlaps = stronger likely relationship example if bill gates and curtis mahoney worked at the same organization for less than one year, the connection is shown as moderate strength connections faq can i add or edit connections on an account record? no â connections are person to person accounts represent organizations, so person to person connections wouldn't accurately reflect them how long does a newly added connection take to appear? processing is asynchronous, so it may take a short while it will appear automatically once processed can i share a login to view connections? no for security and compliance reasons, every user must have their own altrata access i have altrata access but still can't see connections contact customer support to troubleshoot can the relationships widget be hidden for specific users or profiles? no, this isn't currently supported do connections sync between salesforce and the web platform? yes, syncing is bi directional â changes in either place propagate to the other can i see relationships for records that aren't matched to altrata? no a record must be matched to altrata data to display connections my salesforce email doesn't match my altrata access email â what happens? the integration won't work until both emails match exactly part 5 â ongoing maintenance & reference managed package upgrades the altrata salesforce app uses push upgrades â new versions are pushed to your instance automatically this keeps every customer on a supported version and ensures you receive fixes and enhancements without manual upgrade work you don't need to take any action when a new version is released watch for release notes from altrata to learn what's new storage management the altrata managed package writes mostly text data, but the volume of records associated with a salesforce instance can require 1â3 gb of storage â especially during the initial bulk match monitor your salesforce storage and clean up unused data if you're approaching limits match maintenance after the initial bulk match matches refresh weekly automatically use match management to review matched, possible, and unmatched records use manual match to fix individual records when needed getting help for altrata specific issues support\@altrata com for salesforce platform questions (storage, sandboxes, page layouts) salesforce help https //help salesforce com/ for altrata access issues (connections feature) contact your altrata customer support representative general salesforce reference extend your org with appexchange packages https //help salesforce com/s/articleview?id=xcloud distribution installed packages htm\&type=5 review storage requirements in salesforce https //help salesforce com/s/articleview?id=sf admin monitorresources htm\&type=5 creating a salesforce sandbox environment https //help salesforce com/s/articleview?id=platform data sandbox create htm\&language=en us\&type=5
